Job Summary

Sovereign Strategy, a Public Affairs Consultancy, is offering bespoke advice to governments and some of the renown FTSE 100 businesses around the world, is looking for a Senior Office Administrator and Events Coordinator to join the London team. 

The role is to assist the smooth running of the office and to manage the organisation of events. The role requires the post holder to have at least 4-5 years of working experience in a related role, excellent written and verbal communication skills, strong organisational skills, a professional manner for dealing with high profile clients and the diplomatic and coordination skills required in the management of a high performing office.

Responsibilities

  • Manage projects (end-to-end), i.e. in the organisation (e.g. logistics and administration, reporting) of events, meetings and travels together with Sovereign Strategy project managers for the company and/or clients. These can range from small meetings and roundtables up to large scale events (e.g. 200 plus attendees) in London and (where needed in Europe and abroad).
  • Assist in scheduling meetings and travel arrangements for the senior leadership of the company, i.e. help to compile briefing packs for events and meetings.
  • Manage the branding and marketing strategy of Sovereign Strategy including the website and social media by working with senior management and the website developer.
  • Provide administrative support for running the day-to-day operations in London.
  • Perform accounting tasks, including invoicing, expenses, and budget tracking for travel expenses of staff and events/meetings.

Requirements

  • Previous working experience as an Office Administrator, Events Coordinator preferably in a business and/or political environment.
  • In-depth knowledge of office management.
  • Proficient use of event management tools. 
  • Familiarity with social media platforms (LinkedIn, Twitter, YouTube).
  • Outstanding communication and interpersonal skills.
  • Excellent organisational skills.
  • Excellent time-management skills and being able to work under tight deadlines.
  • Adaptable and eager to learn about different client deliverables.
  • Experience in project management. 
  • Miscellaneous tasks, as required, to support the senior leadership.
  • Appreciation and understanding of the UK political environment.
  • Being able to travel for work outside of the United Kingdom.

Qualifications

  • At least 4-5 years’ experience in office management and events coordination roles.
  • A level, BTEC or equivalent.
  • IT skills including Microsoft Office and event and email software.
  • Desired experience in health and safety, human resources, or personnel management.

Salary: Competitive salary dependent upon experience 

Joby Type: 37.5 hrs a week (5 days a week)
